Refund delayed? Here's what's really happening

If your income tax refund is taking longer than expected, it doesn't necessarily mean something is wrong. The tax department runs every return through an automated screening process before releasing money, and some returns simply take longer to clear that check. Understanding why can help you avoid unnecessary panic, and unnecessary mistakes.

Meet the Risk Management System (RMS)

The Income Tax Department uses a tool called the Risk Management System to scrutinize returns that show unusual patterns. Rather than manually checking every filing, this algorithm automatically flags returns that look statistically odd -disproportionate refunds, mismatched data, or claims that don't fit a taxpayer's profile. If your return gets flagged, your refund is paused, not rejected, while the department seeks clarification.

Certain claims are especially likely to trigger scrutiny. Unusually high HRA exemptions relative to your income, oversized donations claimed under Section 80G, and deductions under sections like 80C or 80D that don't match your salary bracket can all raise flags. Switching to the new tax regime without properly adjusting for disallowed deductions is another common trigger, since it can produce an inflated, unexpected refund figure.

Every TDS entry you report is cross-checked against your Annual Information Statement (AIS) and Form 26AS. If the tax deducted by your employer or bank doesn't line up with what you've claimed, the system will pause your refund until the discrepancy is resolved. Even small, unintentional mismatches can be enough to trigger a hold.

Interest from savings accounts, rental income, capital gains from stocks or property, all of it needs to be declared. Leaving out even a small income source can get your return flagged for scrutiny, because the system is specifically designed to catch omissions, not just false claims.

If you've bought property, made large bank deposits, or made significant stock market investments, the tax department expects your declared income to justify those moves. When the numbers don't add up, the Risk Management System pauses your refund until you can explain or document the source of funds.

Once your return is flagged, you'll receive an email or SMS notification asking you to confirm details or revise your filing. You typically have around 30 days to respond through the Income Tax e-Filing Portal. Ignoring this notice is risky, it can lead to a defective return notice under Section 139(9), a full scrutiny assessment under Section 143(3), or in serious fraud cases, penalties as high as 200% of the tax amount and even prosecution.

The best defense is prevention. Before filing, reconcile every figure in your ITR with your AIS and Form 26AS. Keep documentation ready for any deduction you claim, rent agreements, donation receipts, investment proofs. And if you spot an error after filing, don't wait for a notice: file a revised return proactively to fix it yourself.
